1. Who we are
QuickWaiver is operated by Navarn William Lakos ("QuickWaiver", "we"). We are the data controller for personal data we collect through the Service. You can reach us at support@quickwaiverapp.com.
2. Personal data we collect
- Account data: email address, password hash, and any contractor company details you save (company name, business address).
- Waiver data: subcontractor name and mobile phone number, job location, payment amount, job state, waiver type, through date, and the signed PDF.
- Signer audit data: IP address, browser user-agent, signing timestamp, SHA-256 hash of the signed document, and verification ID.
- Support and communications: messages you send us and email correspondence.
- Usage / telemetry: product analytics events, error reports, and device / browser information collected through cookies and tools like Microsoft Clarity.
3. How we use personal data
- To create and maintain your account and provide the Service.
- To generate, deliver, and store lien waiver documents and their audit trail.
- To send transactional emails (welcome, billing, subscription events).
- To detect, prevent, and investigate fraud, abuse, and security incidents.
- To improve the product, including analytics and error monitoring.
- To comply with legal obligations and enforce our Terms.
4. Legal bases (where applicable)
Where GDPR or similar laws apply, our legal bases are: performance of a contract (providing the Service), legitimate interests (product improvement, security, and fraud prevention), consent (marketing communications and non-essential cookies), and compliance with legal obligations.
5. How we share personal data
- Service providers / subprocessors: cloud hosting, database, storage, email delivery, SMS delivery, product analytics, and error monitoring vendors that process data on our behalf.
- Merchant of Record — Paddle: we use Paddle.com as our reseller and Merchant of Record for all paid subscriptions. Paddle handles payments, subscription management, tax compliance, invoicing, and customer service inquiries related to billing. Paddle's privacy notice is available at paddle.com/legal/privacy.
- Counterparties on your waivers: if you are a contractor creating a waiver, the subcontractor you invite receives the request; if you are a signer, the requesting contractor receives your signed PDF and audit data.
- Professional advisers: legal, accounting, and compliance advisers, under confidentiality.
- Authorities: where required by law, legal process, or to protect our rights or the safety of others.
6. Data retention
We keep account and waiver data for as long as your account is active and for a reasonable period afterwards to allow you to reopen an account, to comply with legal, tax, and audit obligations, and to defend against claims. Signed waiver PDFs and their audit metadata may be retained for the statutory period applicable to construction lien records. When data is no longer needed, we delete or anonymize it.
7. Your rights
Depending on where you live, you may have the right to access, correct, delete, or export your personal data, to object to or restrict certain processing, and to withdraw consent. To exercise these rights, email support@quickwaiverapp.com. You may also have the right to lodge a complaint with your local data protection authority.
8. Security
We use appropriate technical and organisational measures — including encryption in transit, access controls, hashed passwords, and audit logging — to protect personal data. No system is perfectly secure; we cannot guarantee absolute security.
9. Cookies and analytics
We use strictly necessary cookies to keep you signed in and to keep the Service working, and analytics cookies (including Microsoft Clarity) to understand product usage and diagnose issues. You can manage cookies in your browser settings; blocking essential cookies may break parts of the Service.
10. International transfers
Our vendors may process personal data in countries other than yours, including the United States. Where required, we rely on appropriate safeguards such as Standard Contractual Clauses or equivalent mechanisms.
11. Changes to this notice
We may update this Privacy Notice from time to time. Material changes will be communicated through the Service or by email.
